    Scope

    This policy describes how Vievo processes data when customers connect HubSpot to Vievo.

    Data We Process From HubSpot

    Depending on granted scopes, Vievo may process:

    • Deal records and related metadata
    • Company and contact records and metadata
    • Owner or user assignment metadata
    • Engagement activity metadata (calls, meetings, notes, tasks, communications)
    • One-to-one email engagement details when sales-email-read is granted

    Purpose Of Processing

    Vievo uses HubSpot data to:

    • Calculate sales activity and performance metrics
    • Generate coaching insights and recommendations
    • Provide progress tracking and team benchmarking features

    OAuth Tokens And Security

    • HubSpot OAuth access and refresh tokens are stored server-side only.
    • Tokens are stored in restricted backend data storage and are not exposed to client-side queries.
    • Token refresh and revocation handling are performed by backend services.

    Retention And Deletion

    • Customers can disconnect HubSpot in Vievo.
    • On disconnect, Vievo deletes stored HubSpot tokens and account-scoped synced integration data.
    • HubSpot-side data remains in HubSpot unless the customer deletes it in HubSpot.

    Revoked Access Or Uninstall

    If HubSpot authorization is revoked or the app is uninstalled:

    • Vievo stops syncing new HubSpot data.
    • Users are prompted to reconnect if continued sync is required.

    Product Analytics And Feedback

    • We use PostHog, hosted in the EU, to see how Vievo is used, for example which pages are opened and where setup stops.
    • On signup, onboarding and signed-in pages, PostHog records how each page is used so we can find and fix problems. Everything you type and all text on the page is hidden; recordings show only the layout and clicks. Our public pages are never recorded. Recordings are deleted after 30 days.
    • Feedback you send can include a picture of the page you were on. You can remove it, or blur its text, before you send. Only the Vievo team can see it, and pictures are deleted after 12 months.
    • We never sell or share recordings or feedback.

    Your Team's Knowledge Base

    • If your team adds material to Vievo's knowledge base (pasted text, web pages or files), we keep it until someone on your team removes it. We send it to OpenAI only to find the right passage and write your coaching tips. It is never shown to the people you sell to.

    Free Deal Audit

    • Our free deal audit asks you questions about your deals. Your answers stay in your browser until you ask for your report.
    • To see your report, you give an email address. Your answers and that address go to Vievo so we can pick your plays and email you the report. The name you give a deal stays in your browser and is never sent.
    • We keep your address only if you tick the box to get plays from Vievo, together with the words you agreed to. Otherwise we keep only a one-way code made from it, for two days, to limit how many reports are sent.
    • You can ask us to stop emailing you and to delete your address at any time.

    Sharing

    Vievo does not sell customer CRM data. Any subprocessors and transfer terms should be disclosed in the final published version.
